SiteGround Email Marketing Campaign Statuses Explained

Once you have the SiteGround Email Marketing product set-up, comes the fun part – you can start creating campaigns! Campaigns go through different statuses during their lifecycle. Familiarizing yourself with them will help manage your campaigns, and accurately track and monitor their progress.

Campaign statuses play a crucial role in managing and monitoring marketing campaigns effectively. They provide information about the current state of each campaign in your account, allowing you to monitor their performance and progress.

There are 4 campaign statuses which you can monitor from your Client Area > Services > Email Marketing > Campaigns. Next to each of your campaigns, you will find the Status section, where you can see at what stage the campaign is.

What Does Each Campaign Status Mean?

Understanding each status of your email campaign is essential for effective campaign management, problem-solving, planning, performance analysis, and team communication. It allows you to track your campaign’s progress, swiftly identify and resolve any issues, and plan future campaigns based on the current status.

Moreover, the status can offer valuable insights into the campaign’s performance, such as potential deliverability issues if a campaign gets the “Suspended” status. Lastly, when working in a team, being aware of the campaign status ensures everyone is on the same page, fostering better coordination and communication.

Draft

The “Draft” status for a campaign indicates that the campaign has been created, but not yet sent. It’s a saved version of your campaign that you can continue to edit and refine until you’re ready to send it out. Once you’re satisfied with the campaign, you can send it out, and the status will change automatically.

While a campaign in in draft status, you can perform the following actions:

  • You can duplicate the campaign to use it as a template for a new campaign.
  • You can delete the draft.
  • You can rename the campaign in Email Marketing.
  • You can edit the design and content of the campaign.
  • You can send the campaign to your subscribers.

Sending

The “Sending” status for a campaign shows that the campaign is currently in the process of being dispatched to the recipients. During this phase, the emails are being sent out to the addresses on your Contacts list. Depending on the size of your list, this process could take anywhere from a few minutes to several hours. Once all the emails have been sent, the status will typically change to “sent.”.

While a campaign is in “sending” status you can’t perform any actions on it.

Sent

The “Sent” status implies that the email campaign has been successfully dispatched to all the recipients you’ve previously selected from your Contacts list. It signifies that the process of sending out the emails is complete, and no more emails are in the queue to be sent for that particular campaign.

The actions you can perform on a sent campaign are:

  • You can duplicate the campaign and use its content and design for a new campaign draft.
  • You can view the statistics of the sent campaign.

Suspended

The “Suspended” status means that the campaign has been halted. While a campaign is in “Suspended” status, no further emails will be sent from it.

For a suspended campaign, the available actions are:

  • You can duplicate the campaign and use it as a draft for a new campaign.
  • You can examine the campaign’s statistics for potential problems that caused the suspension.

Why Can a Campaign Get Suspended?

At SiteGround, we prioritize security and make the best effort to prevent spam from running through our Email Marketing platform. Thus, we have implemented a strict security system that detects unsolicited emails. The system suspends a campaign based on the predefined limits for 3 main factors.

The 3 main reasons for a campaign suspension:

  • A high number of Unsubscribed contacts after or during the campaign distribution process. The Unsubscribed Rate means a large percentage of recipients chose to opt-out or unsubscribe from your email list after receiving your campaign.

If, all of a sudden, your subscribers prefer to unsubscribe, it could indicate that your content is not resonating with them. Other options are that your emails may be too frequent or your audience feels the information is irrelevant.

NOTE: An Unsubscribe rate above 0.5% is generally considered high. This means that if more than 0.5% of your email recipients choose to unsubscribe from your list after a campaign, it may indicate a problem that needs to be addressed.

  • A high Reported Spam Rate after or during the send-out is ongoing. The Reported Spam Rate factor measures the count of your email recipients marking your emails as “spam” or “junk” in their email client.

NOTE: Typically, any Spam Complaint rate above 0.1% (one complaint for every 1,000 emails sent) is considered high and problematic in the email marketing industry. Thus, that is the limit we have with the SiteGround Email Marketing service.

A high Reported Spam Rate can damage your sender’s reputation and decrease your email deliverability rate (meaning fewer of your emails will reach the inbox). Thus, it’s crucial to address the reasons behind a high spam rate, like irrelevant content, too frequent emails, or recipients not recognizing your brand, to ensure the effectiveness of your email marketing efforts.

  • High Bounce Rate after or during the active campaign. The Bounce Rate refers to the percentage of email messages that were not successfully delivered to the recipient’s inbox.

NOTE: A bounce rate above 2% is generally considered high. If more than 2% of your emails are not successfully delivered and are bouncing back, you may need to investigate the cause.

Email bounces occur if the campaign targets invalid, closed, or non-existent email addresses. Another cause for an email to bounce back may be a rejection from the recipient’s server, which can be due to various reasons.

High bounce rates can be due to outdated email lists, incorrect email addresses, or issues with the recipient’s email server. That can negatively impact your sender’s reputation and email deliverability. Thus, it’s important to maintain a clean and updated email contact list to keep your bounce rate low.

NOTE: If a campaign breaches the limits – it will be suspended. Thus, you must ensure your emails are CAN-SPAM and GDPR compliant. If your campaigns excessively exceed the predefined limits – your Email Marketing service may be Suspended.
